Job Description

Executive Assistant to CEO — Job Description2.1 Job Purpose

Provide high-level administrative and project support to the CEO, enabling them to focus on strategic leadership by managing recurring tasks, client interactions, and cross-functional follow-through.

2.2 Key Responsibilities

Meeting Management:
Prepare agendas, coordinate logistics, capture Minutes of Meeting (MoM).
Distribute MoM within 24 hours and track action items to closure.
Follow-up & Task Tracking:
Maintain a rolling dashboard of outstanding CEO tasks and project milestones.
Proactively remind stakeholders and escalate blockages.
Client & Stakeholder Liaison:
Serve as first point of contact for clients, board members, and partners.
Draft and send routine communications on behalf of the CEO.
Reporting & Promotion of CEO Agenda:
Compile weekly status reports for senior leadership.
Coordinate with marketing/communications to amplify key CEO initiatives.
Ad Hoc Strategic Support:
Research and summarize data for decision-making.
Manage travel itineraries, expense reconciliations, and calendar optimization.
