The Institute of NeuroDevelopment (IND) is a mission-driven organisation dedicated to transforming the developmental journeys of children with autism and other neurodevelopmental differences. Our programmes combine structured parent-implementation systems, professional therapy, and measurable progress tracking.

To keep multiple teams and projects aligned to the mission, we require an Executive Assistant & Coordinator who will act as the link between the Founder and the different verticals—ensuring that all tasks, projects, and objectives are systematically followed through to completion.

Role Summary

The Executive Assistant & Coordinator will be responsible for tracking, following up, and documenting tasks across IND’s different teams and subprojects. This role ensures that objectives are not just planned but executed fully, by coordinating with team leads and doers, keeping systematic lists of both process-driven and one-off tasks, and ensuring nothing falls through the cracks.

This is a cross-functional operational role requiring strong organisation, attention to detail, and persistence in follow-ups.

Key Responsibilities

1. Coordination & Follow-Up

  • Act as the Founder’s point of coordination with different verticals (sales, marketing, therapy, parent coaching, operations, etc.)
  • Track tasks assigned across teams and ensure timely follow-up until completion
  • Maintain accountability by reminding, checking, and escalating delays where necessary

2. Documentation & Task Management

  • Maintain structured task lists for both one-off projects and ongoing process-driven tasks
  • Document progress updates, decisions, and next steps from meetings
  • Keep a central dashboard/checklist system to track subprojects and team outputs

3. Subproject Oversight

  • Break down larger initiatives into smaller action points with clear owners and deadlines
  • Ensure that each subproject reaches completion, coordinating with team leads and doers
  • Conduct regular audits to check whether checklists and process standards are being followed

4. Team Support & Communication

  • Facilitate communication between Founder, team leads, and staff
  • Ensure all teams have clarity on their responsibilities and timelines
  • Help prepare reports, summaries, or briefs for the Founder based on project progress

5. Operational Backbone

  • Keep the Founder informed of status, pending issues, and risks
  • Assist in organising meetings, capturing minutes, and ensuring follow-up actions are tracked
  • Support the smooth functioning of the verticals by bridging strategy and execution

Key Skills & Qualifications

  • Bachelor’s degree required; Master’s preferred in Business, Operations, or related fields
  • Minimum 3 years of experience in coordination, executive assistance, or project operations
  • Strong organisational and task management skills
  • Proven ability to handle multiple projects simultaneously
  • Excellent communication and follow-up discipline
  • Proficiency with Google Workspace, task management tools, and basic documentation/reporting
  • Ability to anticipate bottlenecks and proactively solve them

Preferred (Not Mandatory)

  • Experience in healthcare, education, or non-profit organisations
  • Exposure to structured project management or quality assurance systems
