Job Description

Executive Assistant

Key Responsibilities:

  • Act as the first point of contact for the COO, managing correspondence, calls, and meeting requests.
  • Maintain and manage the COOs calendar, scheduling appointments, meetings, and travel arrangements.
  • Prepare agendas, take minutes, and follow up on action items from meetings.
  • Coordinate with internal and external stakeholders on behalf of the COO.
  • Prepare detailed reports, dashboards, and summaries using Excel, PowerPoint, and other tools.
  • Conduct data analysis and provide insights to support the COOs decision-making process.
  • Ensure the accuracy and timeliness of reports for presentations and meetings.
  • Create and edit professional PowerPoint presentations for internal and external stakeholders.
  • Design visually appealing and data-driven slides to effectively convey key messages.
  • Assist in planning, executing, and monitoring special projects as directed by the COO.
  • Track progress, manage deadlines, and prepare status updates for ongoing initiatives.

Qualifications & Skills:

  • Bachelors degree in Business Administration, Corporate Secretaryship, Communications, or a related field.
  • Minimum of 5 years of experience as an Executive Assistant or in a similar role.
  • Proficiency in MS Office Suite, particularly Excel, PowerPoint, and Word.
  • Strong analytical and reporting skills; familiarity with data visualization tools is a plus.
  • Exceptional written and verbal communication skills in English.
  • Excellent organizational and time management skills with the ability to prioritize effectively.
  • High level of discretion and ability to handle sensitive information confidentially.
  • Self-motivated, proactive, and able to work independently under minimal supervision.
