JOB TITLE: EXECUTIVE ADMINISTRATIVE ASSISTANT


Reporting To: Dr Ashish M Gaikwad – Practicing Doctor, Director – Kanakaveda Healthcare & Wellness Pvt Ltd, Chairman – 3 Ports International Chamber of Commerce


Location: Vasai (5 days/week) & Bandra Corporate Office (1 day/week), Maharashtra


CTC: ₹3.0 – ₹3.6 LPA (Depending on Experience)


Working Days: 6 days a week


About the Role:

We are seeking a proactive and highly organized Administrative Executive Assistant to support Dr Ashish M Gaikwad in his diverse professional responsibilities across the healthcare, wellness, and international business sectors. The ideal candidate will be fluent in English, possess excellent interpersonal and organizational skills, and be comfortable working in a fast-paced, multi-tasking environment.


Key Responsibilities:


Administrative & Office Management:

 Manage day-to-day administrative activities for Dr Ashish’s practice and Kanakaveda corporate operations.

 Handle calendar management, meeting coordination, travel arrangements, and email correspondence.

 Assist in preparing presentations, reports, and other business documents.

 Maintain records, filing systems, and office supplies inventory.

 Staff Co-ordination, new staff appointment procedures, facility management.

Event & Meeting Coordination:

 Coordinate internal and external meetings, medical camps, wellness programs, conferences, and corporate events.

 Prepare meeting agendas, take minutes, and ensure timely follow-ups.

 Liaison with vendors, partners, and stakeholders for event logistics.

Communication & Client Interaction:

 Act as the first point of contact for corporate clients, patients, industry associates, and international partners.

 Draft professional emails, letters, and business communications.

 Ensure timely responses to inquiries and follow-ups.

Data Management & Reporting:

 Work on data entry, analysis, and reporting using advanced Excel skills.

 Maintain and update MIS reports, financial summaries, and project trackers.


Desired Candidate Profile: Criteria Requirement

Qualification: Graduate in Commerce / BMS or equivalent

Experience: 2 to 5 years in administration, office management, or executive assistance

Skills: Advanced Excel, MS Office Suite, Email & Calendar Management


Language Skills: Fluent in English; Hindi and Marathi preferred

Highly organized, professional demeanor, proactive, excellent time management, multitasking ability


Work Location & Timing:

 Primary Work Location: Vasai Office (Monday to Friday)


 Secondary Location: Bandra Corporate Office (1 day/week)


 Working Hours: As per company norms (typically 8:30 AM – 5:30 PM)


Compensation: ₹3.0 LPA – ₹3.6 LPA (depending on qualifications & experience)
