Job Description

Key Responsibilities

Office & Facility Management

  • Oversee daily operations of the Pune office and other facilities, ensuring smooth functioning of infrastructure, seating, IT coordination, housekeeping, and security.
  • Maintain and monitor stock of office supplies, safety equipment, and administrative resources.
  • Ensure compliance with statutory requirements (Factory Act license, Fire & Safety norms, IATF documentation, etc.) in coordination with relevant teams.

Administrative Support

  • Coordinate internal meetings, reviews, and company events, ensuring timely communication and documentation.
  • Maintain accurate records of contracts, service agreements, and compliance documents.

Finance & Compliance Support

  • Manage petty cash, reimbursements, and expense tracking.
  • Liaise with Finance team to ensure smooth audits, vendor payments, and stock reconciliations.
  • Support preparation of reports for management reviews and audits.

HR & People Coordination (Support Role)

  • Assist HR in onboarding, maintaining attendance, and employee engagement activities.
  • Coordinate training sessions, workshops, and compliance programs.

Qualifications & Skills

  • Bachelors degree in Business Administration, Commerce, or related field.
  • 5 years of experience in office administration, procurement, or operations.
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent communication and interpersonal skills for vendor and internal coordination.
  • Proficiency in MS Office, Google Workspace, and familiarity with ERP/Zoho tools.
  • Ability to handle confidential information and work independently in a fast-paced environment.
  • Coordinates with: Finance, HR, Supply Chain, and Business Teams.
  • Supervises: Office Assistants, Housekeeping, and Support Staff.
