Job Description

As an HR & Administration professional at the Mall Business department, your role involves overseeing the functioning of general administration by providing high-quality business services in a cost-effective manner and driving efficient facility management, security services, asset insurance, and travel management. Key Responsibilities: - Develop and manage annual budgets for the Admin Dept. - Ensure periodic review of expenses versus the budget and provide solutions for optimizing expenses. - Oversee facility management operations of the office including electricity, civil repairs, etc. - Monitor and ensure the availability of resources from agencies. - Implement and monitor the tendering process for all admin purchases. - Ensure telecommunication devices are in working condition at all times. - Develop a list of empanelled vendors for procurement and regularly review and update the same. - Ensure strict adherence to security processes by the Security Agency. - Conduct periodic safety and quality audits. - Liaise with statutory bodies and ensure adherence to all statutory compliances. Travel: - Oversee both Domestic and International Travel & Hotel bookings for all employees. - Ensure strict adherence to the Travel Policy and control/optimize expenses on travel. Insurance: - Provide inputs for designing and ensure adherence to corporate insurance guidelines. - Ensure comprehensive and timely insurance cover for equipment, fixed assets, property insurance, etc. - Ensure renewal of all insurance policies in a timely manner. Qualifications: - Minimum qualification required is Any Graduate. Special Skills/Attributes: - Liaison Skills with Local Bodies and various Govt. Depts. - Good understanding of statutory compliances. - Knowledge of Admin systems & processes. - Good understanding of the market for various admin procurements. - Good communication (verbal & written) and negotiation skills. You will be required to deal with external agencies/authorities such as Vendors, Service Providers, Contract Staff/Outsourced Agencies, Local Statutory Authorities, and Insurance Providers while discharging your duties.
