Job Description

As an Event Coordinator, your primary responsibility will be to plan and coordinate a variety of events with precision and attention to detail. You will develop comprehensive event plans, timelines, and checklists in collaboration with clients to ensure their vision and objectives are met. Working closely with internal teams such as marketing, sales, and production, you will ensure seamless alignment throughout the planning process. In terms of logistics management, you will oversee venue selection, layout planning, and set-up requirements, as well as manage transportation, accommodation, and scheduling for staff, vendors, and participants. It will be essential to ensure compliance with health, safety, and legal regulations to guarantee the success of each event. Vendor and stakeholder relations will also be a key aspect of your role, involving tasks such as sourcing and negotiating with vendors, building strong relationships with suppliers, sponsors, and stakeholders, and monitoring vendor performance to maintain quality and timeliness standards. Budget management will be crucial, as you will be responsible for preparing and managing event budgets, tracking expenses, and negotiating contracts with vendors to achieve the best value for each event. Additionally, you will lead a team of event staff, contractors, and volunteers, delegating tasks, providing training, and motivation to deliver excellent service. During on-site event execution, you will oversee set-up, execution, and tear-down processes, troubleshoot and resolve issues promptly, and maintain a calm and professional demeanor under pressure. After each event, you will conduct post-event analysis, gathering feedback, assessing success, and creating detailed reports with lessons learned and recommendations for future events. The ideal candidate will have a Bachelor's degree in Event Management, Hospitality, Business Administration, or a related field, along with a minimum of 2 years of experience in event operations, project management, or a similar role. Key skills for this position include exceptional organizational and multitasking abilities, strong communication and interpersonal skills, and the ability to work under pressure and adapt to changing circumstances.,
