About the Role

Event Project Coordinator

Key Responsibilities

Event Planning & Coordination

• Assist in planning, scheduling, and coordinating event timelines.
• Work with internal teams, vendors, and stakeholders to ensure smooth execution.
• Prepare event proposals, budgets, and timelines.

Vendor & Client Management

• Liaise with vendors for quotations, negotiations, and contracts.
• Coordinate with clients to understand event requirements and deliverables.

On-Site Event Execution

• Supervise event setup, execution, and teardown.
• Ensure adherence to event schedules and handle last-minute changes effectively.

Logistics & Operations

• Oversee transportation, accommodation, and other logistical arrangements.
• Manage inventory of event materials and coordinate deliveries.

Post-Event Activities

• Prepare event reports and feedback summaries.
• Assist in invoicing and closing vendor payments.

Required Skills & Competencies

• Strong organizational and multitasking skills.
• Excellent verbal and written communication abilities.
• Proficiency in MS Office (Word, Excel, PowerPoint)
• Ability to work under pressure and meet deadlines.
• Good negotiation and problem-solving skills.
