The E-commerce & Operations Assistant ensures smooth day-to-day functioning of Love Letter’s sales channels — e-commerce, wholesale/consignment partners, and retail events. This role bridges customer service, inventory management, production coordination, and partner servicing, ensuring timely fulfillment, accurate reporting, and operational efficiency.

Key Responsibilities

• Manage day-to-day order fulfillment and resolve customer queries in a timely, professional manner.
• Monitor e-commerce inventory, place replenishment requests with the production team, and coordinate for made-to-order or custom requests.
• Keep Shopify updated with new collections, products, and seasonal launches.
• Plan and execute all operational aspects of pop-ups, exhibitions, and retail events, ensuring readiness for smooth on-ground sales.
• Service store partners by sharing look books and product details each season.
• Manage inventory allocations and coordinate with production to ensure timely fulfillment of bulk orders.
• Maintain and update paperwork and agreements for each retail/wholesale partner.
• Ensure accurate invoicing, track payments, and follow up to ensure timely receipts.
• Track an overview of total inventory across e-commerce and store partners.
• Track and consolidate sales reports across all channels.
• Share insights with the founder to inform production, buying, and range planning.

Qualifications

• Functional knowledge of Microsoft Excel
• Excellent organizational, time management, prioritization, and multitasking skills
• 1-2 years in a similar role
