Job Description

Purpose:

The Support Specialist plays a crucial role in our solutions management activities. They are responsible for team communication and ensuring the quality and reliability of our department data. They collaborate closely with Solution Owners, Managers, Admins, IT, and Operations teams to ensure seamless information flow and alignment of organizational goals. They also create and manage our SharePoint & Teams collaboration areas, organize and host team events such as workshops, webinars, and regular team briefings to foster communication and continuous learning. Other duties include collating our digital solutions data, providing insightful dashboards & reports, and producing impactful presentations.

Responsibilities:

  • Manage communication channels with internal stakeholders, including SharePoint site administration, team news and communications, and creating videos.
  • Organize events such as workshops, webinars and regular team briefings with both internal and external stakeholders, to foster collaboration and continuous learning.
  • Deliver timely and insightful reports, dashboards, and presentations to stakeholders to support informed decision-making and enhance operational efficiency.
  • Collaborate with Solution Owners, Managers, Admins, IT, and other internal teams, to manage information and assist with some administrative activities.
  • Maintain and monitor KPI and budgetary information related to digital solutions.
  • Ensure compliance with company policies and procedures in administration and communication activities.

Education:

  • Bachelor's degree in Information Technology, Business Administration, or a related field.
  • Excellent English speaking and writing abilities

Experience:

  • Proven experience in event management and team communications.
  • Use of project management and other planning tools.
  • Managing Sharepoint and Teams sites, specially creating a new one.
  • Proficiency in data management and reporting.
  • Solid experience of dashboard and reporting tools such as Power BI or Tableau.
  • Working with a distributed team via collaboration tools

Functional Competencies:

  • Very professional communication and collaboration skills.
  • Advanced proficiency in Microsoft Office Suite, especially PowerPoint, teams and Excel.
  • Strong organizational skills for planning and executing team events such as workshops, webinars, and regular team briefings.
  • Ability to work independently and as part of a team.
  • Good understanding of IT project lifecycle management and planning.
