Job Description

Key Responsibilities: 1. Rate Management: Maintain and regularly update freight rates in the designated transport management software (e.g., Carrysoft). Approve trip sheets based on predefined rate structures and operational guidelines. Manage spot hiring transactions and ensure proper documentation and rate negotiation. 2. Invoice & Bill Verification: Verify vendor invoices against LR (Lorry Receipt), POD (Proof of Delivery), and agreed rates. Flag discrepancies and initiate claim settlements as per process. Ensure proper documentation and validation before moving bills to approval stage. 3. Vendor Bill Approval & Payment Processing: Ensure bills are approved in line with company hierarchy and approval matrix. Coordinate with Finance and Accounts for timely and accurate vendor payments. Maintain a tracker for pending bills and payments to ensure zero backlog. 4. Dispute Resolution & Reconciliation: Investigate and resolve discrepancies related to freight billing and payments. Facilitate regular account reconcilation with vendors and resolve outstanding issues amicably and promptly. . Contractual Penalty & Incentive Management: Monitor service level agreements (SLAs) and apply penalties or incentives as per contractual terms. Maintain records of all deductions and incentives for audit and reporting purposes. 7. Software Maintenance & Updates: Ensure data sanctity and up-to-date information logistics management software. Coordinate with IT/support teams for software updates, issue resolution, and training for end users.
