Job Description

Job Summary:

We are seeking a proactive and detail-oriented individual to handle a variety of administrative, operational, and coordination tasks. The ideal candidate will be responsible for managing paperwork, maintaining and updating lists and Excel files, coordinating with vendors, conducting research, ensuring timely follow-ups, and assisting with bills and payments.


Key Responsibilities:

  1. Documentation & Paperwork: Prepare, organize, and maintain all necessary documents and records, both digital and physical.
  2. Research & Information Gathering: Conduct online and offline research as required for projects, vendor comparison, compliance, and business support.
  3. Excel & Data Management: Update and maintain Excel sheets, reports, and trackers with accuracy and timeliness.
  4. Follow-ups & Coordination: Ensure timely follow-ups via email/phone with vendors, internal departments, and clients for updates or pending tasks.
  5. Vendor Management: Coordinate with vendors and service providers for quotations, deliveries, maintenance, and issue resolution.
  6. Bill & Payment Processing: Track bills, prepare payment summaries, ensure due payments are made on time, and maintain payment records.
  7. List & Inventory Updates: Maintain and regularly update inventory lists, contact lists, and other operational databases.
  8. Compiling & Organizing Information: Compile data and documents into reports or presentations as needed by management.


Requirements:

  1. Proven experience in administrative or operations support role.
  2. Strong command of Microsoft Excel and other Office tools.
  3. Excellent organizational and multitasking skills.
  4. Attention to detail and a proactive work ethic.
  5. Strong verbal and written communication skills.
  6. Ability to handle sensitive and confidential information with discretion.


Preferred Qualifications:

  1. Prior experience in vendor coordination or back-office operations
  2. Familiarity with tools like Google Workspace.
  3. Graduate degree in any discipline (preferably in Business, Commerce, or Administration)
