Job Summary:
The Associate HR Specialist (India-based) is responsible for a broad range of human resources activities in support of Cotivitis employees in the US, Canada, Mexico, and Australia. The Associate HR Specialist provides integral administrative support throughout the HR lifecycle, supporting the onboarding of new hires, employee transition and changes, and offboarding functions.
Principal Responsibilities and Essential Duties:
- Coordinate the onboarding process, including initiating and monitoring background checks, tracking progress, and promptly escalating issues to ensure timely and compliant employee onboarding.
- Download and securely store background check reports in the appropriate employee records or file locations, ensuring confidentiality and compliance with data retention policies.
- Enter new hire information, job changes, and Agency Temp extensions into the HRIS system accurately and in a timely manner.
- Coordinate the onboarding and extension of Agency Temps, partnering with the TA team, staffing agencies, and hiring managers to manage assignments, facilitate extensions, and support transitions to regular employee status.
- Monitor the HRIS inbox for employee updates, including name, address, and contact information changes, and follow established procedures to ensure accurate and timely updates in the system.
- Provide accurate and timely information for employment verifications, while maintaining compliance with company policies and safeguarding employee confidentiality.
- Create and maintain accurate employee records/files for all new hires, job changes, and other initiatives, including but not limited to Offer Letters, NDAs, bonus documentation, and change of status emails.
- Manage personnel files of terminating users in a timely manner, organizing files by internal information governance policies.
- Support the creation and delivery of regulatory documents, such as state wage notices and compliance forms, ensuring timely distribution and adherence to applicable legal requirements.
- Support large-scale HR initiatives involving DocuSign, including Bulk Send and mail merge processes, to ensure efficient and accurate distribution and collection of critical documents.
- Provide daily administrative support for HR Operations by maintaining federal and state compliance within the different countries of operations.
- Ensure data integrity and regularly audit HRIS system and employee records/files in accordance with company policies and legal requirements.
- Run and request accurate HR reports and metrics.
- Participate in special projects as needed.
