Job Description

The Assistant to the COO provides high-level administrative and operational support to the Chief Operating Officer. This role ensures smooth day-to-day operations by coordinating tasks, managing communications, tracking projects, and assisting in implementing business strategies. The position demands a high degree of organization, discretion, and a proactive approach to problem-solving.

Key Responsibilities1. Executive Support

  • Manage the COO’s calendar, schedule meetings, and coordinate travel arrangements.
  • Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the COO.
  • Prepare reports, presentations, and meeting documentation.
  • Take minutes during key meetings and follow up on action items.

2. Project Coordination

  • Track and monitor ongoing projects, ensuring deadlines and deliverables are met.
  • Coordinate between departments for project updates and progress reports.
  • Assist in implementing strategic initiatives as directed by the COO.

3. Operational Support

  • Support day-to-day operational needs of the organization.
  • Prepare data, KPIs, and operational metrics for monthly review meetings.
  • Assist in drafting and refining operational policies and procedures.

4. Communication & Liaison

  • Act as the primary point of contact between the COO’s office and internal/external stakeholders.
  • Coordinate cross-departmental communications and ensure smooth information flow.
  • Maintain confidentiality on sensitive matters.

5. Research & Analysis

  • Conduct market, competitor, and industry research to support decision-making.
  • Prepare business summaries, analysis reports, and feasibility studies as required.

Skills & Competencies

  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency in MS Office Suite, Google Workspace, and project management tools (e.g., ClickUp, Notion, Trello).
  • Strong problem-solving and analytical skills.
  • Discretion and ability to handle confidential information.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field (Master’s preferred).
  • 2–5 years of experience in executive assistance, operations, or project coordination.
  • Experience in the education, edtech, or training sector is an advantage.

  • Accuracy and quality of reports and documentation.
  • Effectiveness in coordinating between departments.

  • COO satisfaction rating in support effectiveness.

Job Types: Full-time, Permanent

Pay: ₹20,000.00 - ₹30,000.00 per month
