Job Description: The Examination Assistant will support the university s examination department in coordinating and managing examination-related activities. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information efficiently. Qualifications & Skills: Bachelor s or Master s degree in any relevant field. 2 to 5 years of experience in examination coordination or administration. Proficiency in MS-Office Excellent organizational and multitasking abilities. Strong communication and interpersonal skills. Ability to handle confidential information with discretion. Knowledge of grading systems (CGPA, SGPA, etc.), university examination software and database is desirable Familiarity with university examination policies and procedures is desirable. Key Responsibilities: Maintain and update student examination records in the university database. Verify and process exam applications, hall ticket issuance, and student eligibility. Ensure accurate entry of marks, results, and re-evaluation requests. Prepare and maintain confidential examination-related documents. Organize and archive past examination records systematically. Assist in preparing exam-related reports for the university administration. Support the Examination Controller s office in planning and execution. Communicate with faculty and invigilators regarding exam schedules and requirements. Assist in preparing seating plans, invigilator duty lists, and logistics. Ensure secure handling and storage of question papers before exams. Assist in the collection, sorting, and dispatch of answer scripts for evaluation. Keep track of answer script movements and maintain proper documentation. Address student inquiries related to exam registration, hall tickets, and schedules. Guide students through the examination process and resolve basic issues. Process applications for re-evaluation, supplementary exams, and duplicate mark sheets. Assist in compiling and verifying student results before publication. Ensure accuracy in mark sheets, grade cards, and transcripts. Coordinate with IT staff for uploading results on the university portal. Arrange necessary materials such as answer booklets, OMR sheets, and stationery. Maintain inventory and ensure sufficient stock for examination needs. Coordinate with printing and distribution teams for exam-related materials. Ensure strict adherence to university examination policies and guidelines. Maintain confidentiality of student records, question papers, and results. Assist in audits and inspections related to examination processes. Assist in managing university exam portals and software. Provide support in case of technical issues related to online exams. Help in setting up virtual exams and ensuring smooth execution. Support the examination team with general administrative tasks. Prepare meeting minutes and assist in communication within the department. Perform additional responsibilities as assigned by the Controller of Examination
