Job Description

  • We are looking for a detail-oriented, proactive Administrative Assistant to provide essential support to our teams
  • This role involves expert, agile management of calendars, travel arrangements, expense reporting, and day-to-day administrative operations in our Pune office

Key Responsibilities:
  • Orchestrate complex calendaring across multiple executives, site lead, and teams to ensure seamless scheduling and prioritization across multiple time zones.
  • Coordinate all aspects of domestic and international travel arrangements, including flights, accommodations, transportation, and detailed itineraries.
  • Process and reconcile expense reports accurately and timely, maintaining compliance with company policies.
  • Serve as a dependable point of contact for internal teams and external partners, promoting exceptional service and clear communication.
  • Collaborate closely with other administrative staff to streamline workflows and share best practices across departments while embracing complexity.
  • Assist with coordinating meetings, events, logistics, and cross-functional projects toward timely execution while enhancing team collaboration and productivity.
  • Maintain organization and support special projects as needed, contributing to operational excellence.
Qualifications:
  • Proven experience in an administrative assistant or similar role, preferably supporting multiple stakeholders across a globally dispersed business.
  • Exceptional organizational skills with a strong ability to manage heavy calendaring and detailed travel logistics.
  • Strong interpersonal and communication skills, demonstrating a service-oriented mindset.
  • Reliable collaborator who thrives in teamwork; embraces continuous learning and growth.
  • Ability to handle multiple competing priorities with professionalism and attention to detail.
  • Proficiency with expense management systems and office productivity tools (eg, Google Workspace, Zoom, Slack).
