Operations & Logistics Coordinator (Remote – Night Shift / PST Hours)

About the Role

We are looking for a highly organized and detail-oriented Operations & Logistics Coordinator to support one of our U.S.-based clients. This is a remote position requiring close coordination with their accounting, logistics, and operations teams during Pacific Standard Time (PST) business hours.

The ideal candidate will manage logistics operations, assist in bookkeeping and compliance, and coordinate with vendors and clients for smooth day-to-day operations.


Key Responsibilities

Logistics Coordination

  • Communicate with logistics partners to arrange deliveries and storage solutions.
  • Monitor shipment schedules and ensure timely delivery of products.
  • Coordinate with 3PL partners for freight pickups, storage, and inventory handling.
  • Send shipping updates and tracking information to customers.
  • Maintain accurate shipment data, BOLs, and Proof of Deliveries (PODs).


Documentation & Accounting Support

  • Create and manage quotes, invoices, and purchase orders.
  • Maintain accurate records of all transactions and communications.
  • Support the bookkeeper with ledger entries and reconciliations.
  • Assist in state tax compliance and filings across multiple U.S. states.
  • Upload and maintain logistics and billing data in Zoho CRM and Zoho Books.


Administrative Support

  • Collaborate remotely with U.S.-based team members to streamline processes.
  • Provide exceptional customer service to vendors and clients.
  • Assist other departments with logistics or documentation-related tasks.
  • Provide backup support for Sales Operations including quotes, invoices, and retainer billing.

Qualifications

  • 1–2 years of experience in logistics, shipping coordination, or operations support.
  • Proficiency in Google Workspace (Docs, Sheets, Meet, Chat).
  • Working knowledge of Zoho Books / Zoho CRM or similar accounting and logistics software.
  • Strong organizational skills and attention to detail.
  • Excellent communication and time management skills.
  • Ability to multitask in a fast-paced, remote environment.
  • Must be available during U.S. Pacific Standard Time (PST) business hours.
  • Familiarity with tax compliance software (e.g., Avalara) is a plus.
