Job Description

Post: Administration & Finance Manager (full-time position located in Kolkata)

Roles and responsibilities:

- Overseeing and implementing the administrative and financial functions of the trust and its specific activities / projects / programmes.

- Working with the Managing Trustee and Treasurer to complete administrative, financial, and legal compliances, including reporting to the registration authorities, funding bodies, auditors, income tax authorities, and other government departments.

- Undertaking day-to-day accounting work (including maintenance of books of accounts in Tally software), banking operations, payments processing, and related documentation (including tracking the cash inflow and outflow of the project funds).

- Working with the programme staff to prepare annual, quarterly, monthly, and other short-term implementation plans and budgets, and ensuring that the programme financial systems and activities are on track through monthly, quarterly, and annual reviews.

- Undertaking / leading financial documentation and reporting, with the responsibility of funding body reporting in consultation with organizational / programme leadership.

- Managing statutory audits, project audits, and donor reviews on an ongoing basis.

- Undertaking administrative and HR management work on a day-to-day basis.

- Mentoring, skills building, and performance appraisal roles in relation to the other administration and financial management team members.

- Guiding the support staff members in accounting and logistics activities.

Experience and skills required: A minimum of 5 years of work experience, ideally in the development sector, with demonstrated knowledge and proven proficiency in MS Office™ software and Tally accounting package. Strong command of MS Excel is essential.

Academic background: At least a B.Com degree from a recognized university. Candidates having a post-graduate or equivalent degree in commerce or financial management will be given additional weightage.

Fluency in English and Bengali is a must, with demonstrated strong skills in administrative writing in English. Managerial and team work abilities will be necessary. It is desired that the candidate should have analytical capabilities to prepare financial reports and financial data analysis as required for organizational and donor management.

Reporting to: Managing Trustee and Treasurer of the trust.

Compensation: Salary of around Rs.25,000/- per month (including all taxes) – commensurate with experience. Initial offer of six months.
