Job Description

The Admin Executive will handle daily administrative operations and provide support in office management, HR coordination, and basic accounting activities to ensure smooth functioning of the workplace.

Key Responsibilities:

Office Administration & Facility Management

  • Manage visitors and ensure proper hospitality.
  • Maintain staff attendance and report issues to HR/Admin.
  • Supervise housekeeping services and ensure office cleanliness.
  • Handle inward and outward courier, letters, and documentation.
  • Assign duties to office support staff and maintain office discipline.
  • Manage stationery inventory and office supplies.

HR & Employee Coordination

  • Assist in implementing HR and administrative policies.
  • Handle employee queries and basic grievance coordination.
  • Support employee communication and engagement initiatives.
  • Conduct staff meetings and maintain Minutes of Meeting (MOM).

Accounting & Banking Support

  • Monitor daily accounting activities related to receipts and payments.
  • Enter data in Tally / ERP and maintain financial records.
  • Process vendor bills and coordinate payments after approvals.
  • Handle bank transactions and maintain banker relationships.
  • Prepare income & expenditure statements as required.

Salary & Statutory Support

  • Compile attendance and verify salary data before processing.
  • Coordinate with CA for:
    • GST and statutory payments
    • Tax compliance
    • Audit documentation
  • Ensure timely compliance to avoid penalties.

Petty Cash & Site Expense Management

  • Maintain petty cash records.
  • Verify and record site expenses.
  • Follow up with site staff for expense submissions.
  • Enter petty cash details in Excel / ERP.

MIS & Reporting

  • Maintain daily / weekly / monthly MIS.
  • Prepare and share reports with management.
  • Participate in meetings and update MOM.
