Job Profile Overview:

Admin Executive


Education & Experience:


Qualification:


Experience: 4 to 6 years


Accountable & Responsible For:


1.Security Management

  • Oversee all security operations to ensure the safety of employees, visitors, and property.
  • Coordinate with security vendors and conduct periodic audits.
  • Implement and maintain access control systems and surveillance equipment.


2.Housekeeping & Facility Management

  • Manage outsourced housekeeping teams to ensure cleanliness and hygiene across office premises.
  • Regularly inspect facilities and identify maintenance needs.
  • Monitor the quality and timeliness of services provided.


3.Infrastructure Maintenance

  • Coordinate preventive and corrective maintenance of office infrastructure, including HVAC, plumbing, electrical, and IT-related infrastructure in coordination with relevant departments.
  • Liaise with contractors and vendors for building repairs and renovations.


4.Travel Desk & Hospitality

  • Oversee travel arrangements for employees, including flight/train bookings, hotel reservations, and transportation.
  • Maintain travel records, approvals, and expense reports.


5.Office Administration

  • Manage general office administration including front desk, courier services, pantry, and reception.
  • Ensure availability and proper maintenance of office assets and supplies.


6.Stationery, Uniforms, and Welcome Kits

  • Oversee procurement and stock management of printing stationery and office supplies.
  • Manage uniform distribution and maintenance.
  • Prepare and issue employee welcome kits for new joiners.


7.Food & Catering Arrangements

  • Organize special meal arrangements during meetings, training, or events.


8.Event Coordination & Sales Exhibitions

  • Work closely with the marketing and sales teams to coordinate logistics for exhibitions, trade shows, and events.
  • Arrange booth setup, promotional materials, transport, and staff travel.


Skills:

  1. Master’s degree in business administration or related field.
  2. 4 to 6 years of experience in administration and facility management roles.
  3. Vendor management and negotiation experience.
  4. Proficiency in MS Office and basic ERP tools.


Preferred Certifications:

Candidate with exposure from manufacturing industry with corporate administration expertise.

Personal Attributes:

  • Strong in Coordination, organizational, and communication skills.
  • Ability to multitask and handle pressure in a fast-paced environment.
