Job Description

Role Overview

The Accounts Executive – Import Logistics will be responsible for managing financial transactions related to import operations, maintaining accurate ledgers, coordinating with customers and vendors, ensuring timely payment collections, and supporting logistics documentation. The role requires strong analytical capability, attention to detail, and excellent written and verbal communication skills.

Key Responsibilities

1. Accounting & Reconciliation

  • Maintain and update accounts ledgers related to import transactions.
  • Perform ledger reconciliation for customers, vendors, freight forwarders, transporters, and CHA service providers.
  • Execute timely bank reconciliation, ensuring all import-related entries are accurately recorded.
  • Track and reconcile vendor payments, advances, and outstanding balances.
  • Assist in monthly/quarterly closing activities and MIS reports.

2. Import Documentation & Logistics Coordination

  • Coordinate with the logistics team for import documents: Bill of Entry, invoices, packing lists, AWB/BL, duty challans, etc.
  • Ensure all import-related costs are accurately booked and mapped to relevant ledgers.
  • Follow up with CHA and freight forwarders for timely submission of bills and statements.

3. Customer & Vendor Coordination

  • Communicate with customers for outstanding payments and reconciliation queries.
  • Coordinate with vendors to verify invoices, release payments, and resolve discrepancies.
  • Maintain strong follow-ups for payment collection from customers.
  • Build professional relationships through effective communication.

4. Email & Communication Management

  • Draft and respond to emails related to accounts, reconciliation issues, import billing, and payment follow-ups.
  • Prepare summary reports and share updates with internal departments and management.
  • Maintain accurate written communication records for audit and compliance.

5. Compliance & Record Management

  • Ensure adherence to accounting standards and import-related statutory requirements.
  • Organize and maintain proper documentation for audits and internal reviews.
  • Support GST input reconciliation for import transactions (if applicable).

Skills & Competencies

  • Strong knowledge of accounts, ledger posting, and reconciliation.
  • Basic understanding of import processes, customs documentation, and related logistics expenses.
  • Proficient in MS Excel, accounting software (Tally/ERP), and email communication.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks with accuracy and meet deadlines.
  • Strong analytical and problem-solving abilities.

Qualifications

  • Degree in Commerce / Accounting / Finance.
  • 1–3 years of experience in accounts; experience in import logistics accounting preferred.

Job Types: Full-time, Permanent

Pay: ₹25,000.00 - ₹40,000.00 per month
