Job Title: Visa Counsellor Location: [Mohali Sector-78] Department: Immigration Reports To: Branch Manager Job Type: Full-Time Experience Level: 1–5 years (Fresher’s with strong communication skills may also apply) Position Overview: The Visa Counsellor plays a critical role in guiding clients through the visa application process for countries such as Canada, the USA, the UK, Australia, New Zealand, and European nations. This position requires thorough knowledge of immigration procedures, excellent communication skills, and the ability to manage client relationships with professionalism and accuracy. The ideal candidate should have a strong understanding of visa categories (student, tourist, work, dependent, etc.) and ensure complete compliance with embassy guidelines and immigration laws. They will serve as the key point of contact between the client and the concerned embassy or consulate. Key Responsibilities: 1. Client Counselling & Consultation Provide personalized counselling to clients (students, tourists, professionals) regarding visa procedures and immigration options. Assess the eligibility of clients for the visa category they are applying for. Explain complex immigration processes in a simple and clear manner. Recommend the most appropriate visa type based on the client’s profile and goals. 2. Application Preparation & Documentation Assist clients in preparing visa applications, collecting required documentation, and filling out forms accurately. Review all application forms and supporting documents to ensure completeness and correctness. Guide clients in compiling academic, financial, and legal documents required by the destination country. Check and verify financial statements, sponsorship letters, affidavit of support, and other key documents. 3. Visa Interview Preparation Prepare clients for embassy interviews by conducting mock interview sessions. Provide guidance on possible interview questions, documentation, dress code, and etiquette. Address any concerns or anxiety the client may have regarding the interview process. 4. Coordination & Communication Liaise with embassies, consulates, VFS/global visa application centres, and other relevant authorities to track application statuses. Schedule appointments and manage correspondence with embassy staff or visa officers as needed. Keep clients updated regularly about their application progress or changes in immigration policies. 5. Follow-Up & Case Management Track each client’s application from start to finish to ensure timely processing. Follow up for missing documents or clarifications with clients or authorities. Handle re-application cases, appeals, or refusal cases with attention to detail and tact. 6. Record Keeping & Compliance Maintain and update accurate records of all applications, communications, and documents. Ensure all procedures are compliant with legal, institutional, and embassy regulations. Use CRM or visa management software to log every interaction and milestone in the client’s journey. 7. Sales & Target Achievement Contribute to the achievement of monthly and quarterly enrolment/visa targets. Recommend additional services such as IELTS coaching, travel insurance, forex assistance, or accommodation support (if applicable). Handle walk-in clients and referrals, and convert leads into successful visa applicants. Required Qualifications & Skills:Education:Bachelor's degree in any discipline (Preferred: International Relations, Business Administration, Law, or Education). Experience: Minimum 1–3 years of experience in a visa counselling or immigration consulting role. Experience in handling visa cases for countries like Canada, UK, USA, or Australia is highly desirable. Key Skills: Excellent verbal and written communication skills. Strong interpersonal skills with a client-centric approach. In-depth knowledge of visa processes, especially student and visitor visas. Ability to multitask, prioritize, and manage time effectively. Proficient in MS Office (Word, Excel, PowerPoint) and CRM systems. Familiarity with documentation and regulatory standards of multiple embassies. Ability to work under pressure and meet deadlines or targets. Language Skills: Fluency in English is mandatory. Additional languages (Hindi, Punjabi, Telugu, etc.) are an advantage based on the client demographic. Preferred Attributes: Positive attitude and proactive mindset. Strong attention to detail. Willingness to learn and stay updated with changing immigration laws. Ability to handle sensitive or confidential information discreetly. Team player with a collaborative spirit.
