Job Description

Role Summary

We are looking for a seasoned

VFX Production Coordinator

with at least 5 years of experience managing post-production pipelines, coordinating with multiple vendors, and supporting live-action shoots. This role bridges the gap between production and post, ensuring that data moves seamlessly from set to screen and that VFX teams are set up for success from day one. You'll be central to organising the flow of assets, schedules, reviews, and notes across teams—both internal and external.

Key Responsibilities

VFX Production Oversight

  • Manage day-to-day coordination of VFX tasks across internal departments and external vendors.
  • Track assets and shot progress, flag risks early, and maintain overall production health.
  • Own and update detailed tracking sheets, shot lists, and delivery schedules.
  • Ensure consistent file naming, versioning, and data delivery protocols are followed.

Shoot Coordination (Film & Episodic)

  • Act as the production-side point of contact during VFX-heavy shoots.
  • Coordinate the collection and secure transfer of all shoot data: camera reports, lidar, HDRIs, reference photography, measurements, etc.
  • Support on-set VFX supervisors by ensuring shoot-related requirements are prepped and met.
  • Collaborate with DITs, data wranglers, and editorial teams to ensure clean post handoffs.

Review & Feedback Loop

  • Set up, run, and record VFX review sessions (internal, supervisor, vendor, or client).
  • Document clear and actionable notes, follow up on statuses, and track to completion.
  • Maintain shot status reports and weekly updates for producers and leadership.

Team & Vendor Coordination

  • Serve as the bridge between VFX artists, leads, production, and vendor partners.
  • Support scheduling, communication, and delivery planning with external facilities.
  • Liaise with editorial to track plate deliveries and updates.
  • Coordinate with pipeline and data teams to ensure technical requirements are understood and met.

Qualifications & Skills

  • Minimum 5 years of experience in VFX production coordination for film, TV, or high-end commercial projects.
  • Experience working on-set or directly supporting VFX-heavy shoots is essential.
  • Strong understanding of VFX workflows, including roto/paint, tracking, comp, CG, FX, and delivery.
  • Proficient in production and tracking tools: Shotgrid, GSuite, Excel, Zoom, Aspera, Resilio, or similar.
  • Excellent communication and follow-through skills.
  • Able to juggle multiple moving parts in a high-paced, deadline-driven environment.
  • Detail-oriented, solution-focused, and highly organised.
  • Comfortable working across time zones and supporting remote teams.

Nice To Have

  • Previous experience in live-action production, editorial, or DIT/data wrangling teams.
  • Experience working with global VFX vendors and managing overlapping schedules.
  • Familiarity with file formats, resolution standards, color workflows, and delivery specs.
