Job Description

Position Overview

The Vendor & Database Executive will be responsible for maintaining and updating the company’s vendor database, researching new vendors, managing prices and quantities, arranging samples, and supporting event-related requirements across categories like guest experience, artists, printing, gifting, and more.

This role is crucial for ensuring the company always has the right resources, updated information, and new ideas as per market trends.

Key Responsibilities

A. Vendor Sourcing & Coordination

  • Identify and source new vendors across multiple categories.
  • Collect vendor details, pricing, catalogues, quantity requirements, and product lists.
  • Maintain strong vendor relationships for smooth operations.
  • Negotiate basic pricing and terms when required.

B. Database Management

  • Maintain and update vendor data in Excel/Google Sheets.
  • Keep track of pricing, quantities, product availability, and vendor performance.
  • Categorize data properly for easy team access.
  • Ensure all information is accurate, updated, and well-organized.

C. Sample Handling

  • Arrange samples from vendors whenever required by the design/operations team.
  • Maintain a sample library for reference.
  • Track sample requests, approvals, and returns.

D. Event Support Requirements

Provide vendor and product options for:

  • Guest Experience items
  • Artists, Anchors, Performers
  • Printing, fabrication, and design materials
  • Gifting, hampers, merchandise
  • Collaterals, branding elements
  • Any other event-related requirement

E. Market Research & Trends

  • Research new products, concepts, and market trends.
  • Keep the database updated with new ideas and innovations.
  • Suggest fresh options and modern solutions to the team.

F. Internal Coordination

  • Support the Client Servicing, Design, and Production teams with quick information.
  • Follow up with vendors for prices, availability, and timelines.
  • Maintain timely communication across all departments.

Required Qualifications

  • Graduate (Any discipline)
  • Basic understanding of events, procurement, or vendor management preferred

Experience

  • 6 months to 1 year of experience (Event / Operations / Vendor coordination preferred)
  • Freshers with strong interest and learning mindset may also apply
