JOB PURPOSE - The onboarding Specialist will be responsible for getting an employee onboarded and getting their Drug Test and Background verification processed along with their badging and sharing of credentials with the employee and coordinating with the HR team for employee orientation. PRINCIPAL ACCOUNTABILITIES - BGV, DT & Badging Gather and process paperwork, like contracts and non-disclosure agreements. Craft and send emails with information about the company and position, including work schedules, dress code, and parking options. Ensure all verifications sent out to enrolled BGV vendors are followed up on promptly. Should manage inbound/outbound inquiry calls for Employment, Education, Reference, and Licensing Verifications with a third-party company. Maintains an accurate record keeping of all tests and results. Manage compliance procedures for drug and alcohol testing and enforce policy according to drug policies per job site, including random, follow-up, reasonable suspicion, post-accident, and pre-employment. Manages drug and alcohol testing to ensure it is compliant with federal regulations and company policy. Manages external/internal relationships with high regard for confidentiality when communicating sensitive information on a need to know” basis. Assists with preparing and delivering compliance-related training and communications to employees. Acts as liaison with the drug testing laboratory and Medical Review Officer Engages with internal stakeholders to develop new tools and resources to meet organization/business needs. Possesses the ability to work independently with minimum supervision, reliable multi-tasking abilities, and organizational skills. Build strong partnerships with stakeholders to foster a positive and fulfilling work environment. Responds to inquiries and resolves issues in a professional and timely manner and is an available resource to employees. In collaboration with drug screening vendor, set up clinics as needed; Maintain contact with clinics to ensure Chain of Custody forms are in stock and up to date. Assist with all other duties as assigned within the scope of employee relations. Responds to all external inquiries for drug and alcohol testing inquiries within 24 business hours of receipt. SKILLS AND KNOWLEDGE - Strong analytical and problem-solving skills; ability to combine attention to detail with a big-picture perspective. Must be hands-on and able to seamlessly flex between strategic and tactical activities. Abides by company program as well as Federal regulations to ensure regulatory compliance. Knowledge of Drug & Alcohol regulations Highly proficient computer skills (Microsoft Office and advanced database management skills with a high level of proficiency in navigating Excel spreadsheets) Ability to understand the Company Culture and act as a change agent to evolve the organization through HR initiatives and systems. Experience working with unions/represented employees preferred. Shift - Candidate should be OK to work in both EST & PST shift Weekend work is required
