Job Description

Assistant Manager - Tendering

Must have good exposure to Irrigation Works, Dams/ Barrages & Canal projects.

  1. Tender Preparation

    : Assist in preparing tenders, standardized templates, and associated paperwork.
  2. Methodology & Documentation

    : Prepare tender methodology, cash flows, and schedules when a technical expert is unavailable.
  3. Proposal & Bid Management

    : Oversee the compilation and, when necessary, drafting of high-quality proposals, bids, and tender responses to ensure professional, timely, and compliant handling.
  4. Vendor Management

    : Maintain a list of eligible vendors for upcoming bids and monitor vendor engagement.
  5. Bid Compilation

    : Compile diverse inputs to create competitive bid documents and monitor deadlines.
  6. Evaluation & Negotiation

    : Participate in the evaluation process and contract negotiations.
  7. Department Coordination

    : Communicate with the User Department regarding tender criteria, status, and updates.
  8. Vendor Communication

    : Engage with vendors throughout the tender process, including non-disclosure agreements and confirmation of interest.
  9. Procurement Documentation

    : Maintain internal procurement documents related to the tendering process and manage approval tracking for tendering and contracting actions.
  10. Tender Archiving

    : Ensure proper filing and archiving of completed tenders.
  11. Reporting & Timelines

    : Prepare status reports and projected timelines for tenders as needed.
  12. Cross-Department Coordination

    : Coordinate with various departments (Planning, QA/QC, HSE, Engineering, Production, etc.) for bid preparation and tender submission.
  13. Bid Submission Management

    : Organize and manage bid submissions, including tender questionnaires and pre-qualifications.
  14. Client Relationship Management

    : Assist the Commercial Department in maintaining relationships with existing and potential clients by coordinating bid requirements.
  15. Query Management

    : Collect and compile all queries and requests for additional information for client communication.
  16. Tender Evaluation

    : Analyze incoming tenders, noting deadlines, project timelines, and submission requirements.
  17. Information Gathering

    : Gather relevant information from industry sources, market intelligence, and online research to support the tender submission.
  18. Adherence to Deadlines

    : Ensure strict adherence to submission deadlines, including binding, packing, and preparation of outgoing tenders.
  19. Standardization

    : Ensure that tender submissions are standardized in format, logo, font, and content, in line with the customer's requirements.
