Job Description

Job Summary:

The Occupancy Planner is responsible for ensuring optimal space utilization across the corporate real estate portfolio. This role blends strategic foresight with tactical execution to align workspace planning with evolving business needs, employee well-being, and cost efficiency.

Key Responsibilities:

Strategic Planning:

  • Develop and implement long-term occupancy strategies aligned with business growth and talent needs.
  • Collaborate with cross functional teams to forecast headcount and space demand.
  • Conduct portfolio analysis to identify opportunities for space optimization, consolidation, or expansion.

Tactical Execution:

  • Create block and stack plans to allocate space based on team contiguousness and functional requirements.
  • Prepare test fits and layout drawings using AutoCAD to evaluate feasibility of space changes.
  • Manage workspace requests (e.g., new hires, team expansions, relocations) and propose solutions.

Data & Reporting:

  • Maintain accurate occupancy data in CAFM/IWMS systems.
  • Generate reports and dashboards on space utilization, vacancy, and occupancy metrics.

Move & Change Management:

  • Develop move plans and coordinate internal relocations and restacks.
  • Partner with facilities, IT, and vendors to execute changes with minimal disruption.
  • Educate stakeholders on space policies and standards.

Stakeholder Engagement:

  • Serve as SME for business units regarding occupancy needs.
  • Facilitate discussions, present findings, and gain alignment on proposed solutions.

Qualifications:

  • Bachelors degree in architecture, Interior Design, Real Estate, Facilities Management, or related field.
  • 510 years of experience in occupancy planning or corporate real estate.
  • Proficiency in AutoCAD, CAFM/IWMS platforms (e.g., Archibus, Tririga), Power BI and Excel (pivot tables, formulas).
  • Strong analytical, communication, and project management skills.
  • Familiarity with office furniture systems and collaborative workplace design.

Preferred Certifications:

  • CoreNet Global MCR
  • IFMA CFM
  • PMP
