Bachelor's degree in Facilities Management, Business Administration, Engineering, or a related field. Certifications in Facilities Management (IFMA, BIFM) preferred.
o Oversee the maintenance and operation of all office facilities, including infrastructure, utilities, and office equipment.
o Ensure that facilities are fully operational, safe, and compliant with local laws and industry regulations.
o Manage the setup, relocation, and configuration of workspaces to accommodate team growth or changes.
o Oversee the daily operations of janitorial, security, and maintenance services.
o Identify, negotiate, and manage relationships with external vendors, including maintenance service providers, cleaning services, security, and others.
o Monitor and review vendor performance to ensure high-quality service delivery, contract compliance, and cost control.
o Conduct regular audits and inspections to assess the effectiveness of outsourced services and facilities operations.
o Develop and manage the facilities budget, ensuring cost-effective strategies for utilities, maintenance, and other operational expenses.
o Monitor expenses and track cost savings through efficient resource management and vendor negotiations.
o Recommend and implement cost-effective improvements to enhance facilities operations without compromising on service quality or safety.
o Ensure all facilities are compliant with local health, safety, fire, and environmental regulations.
o Conduct regular safety audits, risk assessments, and emergency drills (e.g., fire evacuation) to maintain a safe workplace.
o Manage health and safety-related concerns, incidents, and reporting.
o Lead and supervise the facilities team, ensuring timely execution of facilities-related tasks.
o Coordinate with HR, IT, and other departments for smooth facilities integration with organizational processes.
o Serve as the point of contact for employee concerns regarding office amenities, space utilization, and other facilities-related issues.
o Support long-term facilities planning, including space utilization, office expansions, and relocations as the organization grows.
o Evaluate and implement sustainable initiatives (e.g., energy-efficient lighting, waste reduction programs).
o Ensure continuous improvement by analyzing facilities performance metrics and making recommendations for efficiency gains.
o Oversee special facilities projects such as office renovation, relocations, or installations.
o Lead and coordinate projects from inception through execution, ensuring completion on time, within budget, and in compliance with organizational requirements.
