Job Description

1. Administrative & Executive Support

  • Calendar Management:

    Expertly manage and prioritize a dynamic and complex calendar, coordinating internal and external meetings across multiple time zones.
  • Communication Hub:

    Act as the primary point of contact for the CSO. Screen, prioritize, and manage all incoming correspondence (emails, calls), drafting professional responses when appropriate.
  • Document Management:

    Maintain an organized and confidential system for all executive documents, strategy plans, and sensitive correspondence.
  • Expense & Budget:

    Prepare and submit detailed expense reports, manage corporate credit cards, and assist with tracking the CSO's departmental budget.

2. Strategy & Project Coordination Support

  • Meeting Preparation:

    Prepare detailed meeting agendas, gather necessary presentation materials, and ensure the CSO is fully briefed for all engagements.
  • Minutes & Follow-up:

    Attend key strategy meetings, accurately record meeting minutes, and track follow-up actions to ensure timely completion by relevant stakeholders.
  • Presentation Development:

    Assist in the preparation and finalization of high-level presentations and reports for the Executive Team and Board of Directors, often involving complex strategic data.
  • Research:

    Conduct basic research and compile summaries on industry trends, competitor activities, or potential partners as directed by the CSO.

3. Travel & Logistics

  • Complex Travel Arrangements:

    Manage end-to-end domestic and international travel logistics, including flight booking, hotel reservations, ground transportation, and detailed itinerary creation.
  • Event Coordination:

    Plan and organize internal and external events, meetings, and off-sites hosted by the CSO's office.
