Secretary / Executive Assistant

Job Title: Personal Assistant / Secretary (Remote with Monthly On-site Visits) Location: Primarily Remote (Kolkata-based preferred for occasional in-person visits) Employment Type: Part-time / Full-time (based on mutual agreement) Work Hours: Flexible (with responsiveness during working hours) We are seeking a highly organized, dependable, and discreet Personal Assistant / Secretary to provide comprehensive support across personal, household, and professional domains. While the role is largely remote, it may involve monthly in-person visits for file organization and paperwork management. This role is ideally suited for a mature, middle-aged individual who brings professionalism, strong communication skills, and a proactive approach to managing daily priorities. Key Responsibilities Administrative & Personal SupportManage calendar of personal, social, and professional events. Schedule and coordinate appointments, meetings, and reminders. Assist in travel planning: flight bookings, visa processing, hotel reservations. Research and shortlist service providers (social media planners, content creators, etc.). Liaise and negotiate with vendors and service providers to get the best rates. Home & Life Management - Organize physical and digital files; occasional visits to the house for setup and maintenance. Assist in personal errands like gift purchases (e.g., Amazon), salon appointments, and utility bookings. Track birthdays and anniversaries, and ensure timely planning for gifts or celebrations. Manage reminders for bill payments, renewals, and subscriptions. Financial Support - Maintain a daily expense tracker. Prepare and update a monthly item-wise expense report (fuel, salaries, utilities, etc.). Coordinate salary payments, reimbursements, and vendor settlements. Professional SupportAssist with email drafting, follow-ups, and meeting preparation. Support light official tasks such as scheduling meetings, research, and coordinating deliverables. Ideal Candidate Profile Mature and dependable individual, preferably middle-aged, with prior experience as a Personal or Executive Assistant. Highly organized with strong attention to detail. Excellent communication and negotiation skills. Discreet, trustworthy, and capable of handling confidential matters with sensitivity. Proficient in basic digital tools (Excel, Google Calendar, WhatsApp, Email, Amazon, etc.). Based in or around Kolkata for ease of monthly house visits.
