Job Title: Executive Assistant Location: New Delhi Department: Administration / Executive Office Reports To: Managing Director / CEO / Senior Leadership Job Summary: The Executive Assistant will provide comprehensive administrative and operational support to senior management, ensuring smooth day-to-day functioning of the executive office. The ideal candidate should be proactive, organized, and capable of handling multiple priorities while maintaining professionalism and confidentiality at all times. Key Responsibilities: Manage and maintain the executive’s calendar, appointments, and travel schedules. Coordinate internal and external meetings, prepare agendas, and record minutes. Handle correspondence, emails, reports, and presentations with accuracy and discretion. Act as the primary point of contact between the executive and internal teams or external stakeholders. Monitor pending tasks, follow up on deliverables, and ensure timely completion of commitments. Organize and maintain digital and physical filing systems. Coordinate travel arrangements, hotel bookings, and itinerary planning. Prepare and track expense reports, reimbursements, and other administrative documentation. Conduct research and compile information to support executive decision-making. Support the execution of special projects, meetings, and organizational initiatives as needed. Qualifications & Skills: Bachelor’s degree in Business Administration, Management, or related field. 2–5 years of experience as an Executive Assistant or in a similar administrative role. Excellent written and verbal communication skills. Strong organizational and multitasking abilities with attention to detail. Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook). Ability to handle sensitive and confidential information with discretion. Strong interpersonal skills and a professional demeanor. Proactive, reliable, and adaptable to changing priorities. Preferred Attributes: Prior experience supporting C-level executives or senior leadership. Exposure to a fast-paced corporate or healthcare environment. Familiarity with digital collaboration tools (Google Workspace, Slack, Asana, Trello, etc.).
