Job Description

Job Purpose:

To manage front office operations, provide professional reception services, and support administrative activities, ensuring smooth communication and a welcoming environment for visitors, clients, and employees.

Key Responsibilities:

  • Greet and assist visitors, clients, and vendors in a courteous and professional manner.
  • Manage incoming and outgoing calls, emails, and messages efficiently.
  • Maintain visitor logbooks, issue visitor passes, and ensure compliance with security protocols.
  • Coordinate meeting room bookings, prepare for client visits, and assist in hospitality arrangements.
  • Receive, sort, and distribute mail, courier, and other deliveries.
  • Maintain front office records, contact lists, and filing systems.
  • Assist HR & Admin team in scheduling interviews, coordinating candidate visits, and onboarding activities.
  • Provide support for office supplies inventory, requisition, and vendor coordination.
  • Ensure reception and waiting areas are clean, organized, and professional at all times.
  • Handle confidential information with discretion.
  • Prepare daily/weekly MIS reports related to visitors, calls, and admin activities.
  • Coordinate with different departments (production, HR, accounts, etc.) for smooth information flow.

Skills & Competencies Required:

  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with a customer-service mindset.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
  • Good organizational and multitasking abilities.
  • Ability to handle pressure with a calm and professional attitude.
  • Knowledge of basic office administration in a manufacturing industry setup.

Qualification & Experience:

  • Qualification: Graduate in any discipline (preferred in Commerce/Arts/Business Administration).
  • Experience: Minimum 7+ years of experience as a Receptionist / Front Office Executive, preferably in the manufacturing or industrial sector.

Job Types: Full-time, Permanent

Pay: ₹15,000.00 - ₹30,000.00 per month
