Purchasing Senior Analyst

• Ensure the timely conversion of requisitions (purchase requests) into purchase orders and PO amendment requests, maintaining the expected level of accuracy per transaction. Handle the creation of all types of POs (Purchase Orders) in the Oracle system, including maintenance spares, engineering items, electrical items, safety materials, capital expenditure requirements, and imported materials.
• Responsible for creation BOE (Bill of Entry in the Oracle system, for the import shipment.
• Manage escalations and ensure any issues are resolved promptly.
• Prepare and present weekly reports to the Senior Director, Site Leader, and Heads of Departments (HODs).
• Ensure clear audit trails and records are available to justify and support all POs created.
• Prepare process flow charts and presentations (PPTs) regarding import and local procurement processes.
• Review Commercial Invoices (CI) and Packing Lists (PL) and provide shipping instructions to the import supplier accordingly.
• Prepare the PR-PO sheet and update all details, such as delivery dates, weights, and modes of shipment.
• Coordinate for the export shipment and Stock transfer shipment (STSO)
• Cross-check checklists, waybills and (BL/AWB) against the purchase order and supplier invoice to avoid incorrect information in the BOE.
• Coordinate with Customs House Agents (CHAs) for the accurate preparation of BOEs and handle customs queries and closely collaborating with CHAs to ensure timely clearance of materials.
