Job Description

Role Overview / Purpose of the Role

To manage end-to-end coordination of company property by handling tenant relationships, tracking rentals, maintaining accurate accounts of income and expenses, and ensuring smooth communication with tenants, and internal stakeholders, while providing regular updates and reports to the MD.

Key Responsibilities

  • Act as the primary point of contact for all tenants and managing committees.
  • Maintain an up-to-date tenant master database including agreements, rent terms, escalation clauses, deposits, and renewals.
  • Track monthly rental inflows, security deposits, arrears, escalations, and renewals.
  • Maintain complete records of property-related income and expenses (rent, maintenance, utilities, repairs, society charges, etc.).
  • Ensure timely rent follow-ups and collections and escalate delays or discrepancies to the MD.
  • Prepare and maintain Excel-based MIS, trackers, and statements for rentals, expenses, and outstanding balances.
  • Coordinate with the accounts/finance team and auditors for reconciliation, documentation, and reporting.
  • Provide accurate data and insights to support management decisions related to property and tenancy matters.
  • Handle ad-hoc tasks and special assignments as directed by the MD.

Education & Experience

Qualification

  • Graduate in Commerce, Accounting, Finance, Management, or related field preferred.

Experience

  • 36 years of experience in property management, real estate coordination, property accounts, or facilities/property administration.
  • Prior exposure to commercial properties, rental accounting, and tenant management is highly desirable.

Industry Preference (if any)

  • Retail, Commercial Real Estate, Construction, Project Management, Facility/Property Management, or Hospitality Infrastructure.

Skills & Competencies

Technical Skills:

  • Strong working knowledge of accounts (rent accounting, expense tracking, basic reconciliation).
  • Good understanding of commercial real estate and tenancy concepts.
  • Proficiency in MS Excel (trackers, formulas, summaries, basic MIS).
  • Decent written and verbal communication in English (local language proficiency preferred).
  • Strong coordination, follow-up, and stakeholder management skills.
  • High level of accuracy, ownership, and confidentiality.
