Job Title: Project Coordination Assistant / Personal Assistant – QSR Fit-Out Projects(Location: Remote / Work-from-Home | Full-Time or Part-Time)
About the Role :We are looking for a smart, proactive, and highly organized Personal Assistant / Project Coordination Assistant to support the smooth execution of quick-service restaurant (QSR) fit-out projects across India.
You will work directly with the owner/project head and act as the central point for coordination, vendor sourcing, follow-ups, and internal team communication.
Key ResponsibilitiesAct as the owner’s right hand for day-to-day project coordination and administrative tasks.
Source and shortlist vendors/suppliers pan-India for all fit-out materials and services (furniture, signage, kitchen equipment, ACP, glass, electrical items, civil works, MEP, graphics, lighting, flooring, ceiling, SS fabrication, manpower, etc.).
Extensively use platforms such as IndiaMART, Justdial, TradeIndia, ExportersIndia, local WhatsApp/Facebook groups, Google, and personal networks to find reliable and cost-effective vendors.
Collect quotations, compare prices, negotiate basic rates, and prepare comparison sheets.
Coordinate with civil contractors, MEP contractors, signage vendors, furniture fabricators, and other trades on a daily basis (calls, WhatsApp, emails).
Follow up aggressively on pending quotations, material deliveries, site measurements, drawings approval, and payments.
Maintain project-wise vendor databases and price lists.
Update project status sheets/trackers (Google Sheets/Excel) on a daily basis.
Schedule site visits, vendor meetings, and conference calls.
Handle documentation – preparing POs, work orders, invoices tracking, payment follow-ups.
Communicate clearly and professionally (in English + Hindi) with internal team members, site supervisors, and vendors.
Flag delays, quality issues, or budget overruns immediately to the owner.
Must-Have Skills & Traits
Proven ability to source vendors online (IndiaMART, Justdial, Google searches, etc.) – you should love hunting for suppliers!
Strong follow-up skills and persistence – vendors often delay, you should know how to chase without being rude.
Very comfortable with WhatsApp, Calls, Google Sheets/Excel, Email, and basic Google Drive.
Extremely organized, detail-oriented, and able to handle 4–8 projects simultaneously.
Quick learner and problem-solver – fit-out projects always have last-minute surprises.
Ability to work in Indian Standard Time (IST) and be available on phone/WhatsApp from ≈9 AM – 8 PM (flexible).
Good to Have (not mandatory)Past experience in interior fit-out, retail, or QSR/restaurant projects.
Basic knowledge of construction/interior materials and terminology.
Experience in handling civil, electrical, or signage vendors.
Salary Range₹20,000 – ₹35,000 per month (depending on experience and speed of working) + performance incentives possible.
