About the Role

We are looking for a detail-oriented PMO Executive to support our client operations, maintain accurate agreement and contract data, manage invoicing follow-ups, and ensure all client-related information is updated and error-free. The role requires strong data handling, coordination skills, and advanced Excel expertise.

Key Responsibilities

• Maintain and update client agreement data, contract terms, renewal dates, billing details, and compliance documents.
• Coordinate with clients and internal teams regarding agreement renewals, PO status, and invoices.
• Track invoice submissions, payment follow-up status, and escalation points.
• Maintain and manage all client databases, trackers, and dashboards with 100% accuracy.
• Prepare weekly and monthly MIS reports for management review.
• Validate data received from BD/Recruitment teams before updating master sheets.
• Ensure proper documentation and filing of agreements, correspondence, and billing records.
• Support the PMO Manager/Operations head with operational tasks, process improvements, and data audits.
• Coordinate with the finance team on billing accuracy, payment receipts, and reconciliation.
• Maintain confidentiality and ensure compliance with company data standards.

Required Skills & Experience

• 2–5 years experience in PMO, MIS, Operations, Admin, or Client Coordination roles.
• Strong expertise in Excel (VLOOKUP, Pivot Tables, Basic formulas, Data Cleaning).
• Excellent attention to detail and data accuracy.
• Strong communication skills for client follow-ups and internal coordination.
• Ability to manage multiple trackers and large datasets without errors.
• Experience with CRM, MIS, or project management tools is an advantage.
• Highly organized, process-driven, and disciplined.

Preferred Qualifications

• Experience in HR Consultancy, Staffing, or Service Industry.
• Knowledge of invoicing cycles, PO management, and client documentation.
• Ability to prepare dashboards and analytical reports.
