About the Role: We are seeking an exceptional Personal Secretary to the CEO who will work closely with the CEO to handle critical tasks with authority, discretion, and independence. This pivotal role requires a dynamic individual with strong leadership qualities, excellent communication skills, and superior organizational abilities. The Personal Secretary will act as an extension of the CEO, supporting decision-making, managing operations, and ensuring seamless execution of business and personal priorities. Key Responsibilities: Serve as a key point of contact between the CEO and internal/external stakeholders. Proactively manage and prioritize the CEO’s calendar, meetings, appointments, and travel plans. Handle confidential information with the utmost discretion and professionalism. Assist in decision-making processes by providing timely information, briefings, and summaries. Draft, review, and manage communications, reports, and presentations on behalf of the CEO. Coordinate and monitor action items and projects to ensure timely follow-ups and execution. Represent the CEO in meetings, events, and communications as needed. Manage operational tasks, vendor relations, and administrative processes independently. Act as a trusted advisor, anticipating the needs of the CEO and proactively addressing them. Lead special projects as assigned and ensure their timely and high-quality completion. Maintain a strong understanding of organizational priorities and the CEO’s strategic objectives. Required Qualifications and Skills: Proven experience (3+ years preferred) in executive support, administration, or a similar leadership-support role. Strong leadership qualities and the ability to act independently with sound judgment. Exceptional written and verbal communication skills. Highly organized with excellent multitasking abilities and attention to detail. Strong problem-solving skills and the ability to make effective decisions quickly. Professional demeanor, discretion, and the highest standards of confidentiality. Ability to work efficiently in a fast-paced, dynamic environment. Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and comfortable with business technology tools. Bachelor's degree in Business Administration, Management, Communications, or related field (preferred). Preferred Attributes: Prior experience supporting C-level executives. Ability to anticipate needs and manage challenges proactively. High emotional intelligence and interpersonal skills. Willingness to be flexible with work hours based on the CEO’s schedule.
