Our mission is to bridge the gap between ideas and execution, helping inventors, researchers, and institutions protect and develop their intellectual property. --- ### **Job Summary:** The **Personal Secretary to the MD** will serve as the primary point of contact for managing the MD’s schedule, communications, and workflow. In addition, the role includes **supervising and coordinating the administrative and operational activities** of a growing team, ensuring smooth daily operations, and supporting strategic objectives. --- ### **Key Responsibilities:** #### **Executive Support:** * Manage the MD’s calendar, appointments, travel plans, and correspondence. * Prepare and coordinate high-level reports, presentations, and documentation. * Handle confidential and sensitive information with discretion. * Organize and attend internal and external meetings, take minutes, and follow up on action points. * Liaise with stakeholders, clients, partners, and government agencies on behalf of the MD. #### **Administration & Office Management:** * Oversee daily operations of the office and ensure a productive work environment. * Maintain and organize company records, project files, and client databases. * Ensure compliance with internal protocols, HR documentation, and company policies. * Procure and manage office supplies, IT, and infrastructure needs. * Act as the central point for coordinating with vendors, legal, accounting, and regulatory bodies. #### **Team Supervision & Coordination:** * Supervise junior staff, interns, and consultants; monitor task progress and team deliverables. * Assist in setting up workflows, internal reporting structures, and team KPIs. * Support recruitment and onboarding of new employees. * Facilitate team meetings, progress tracking, and inter-departmental communication. * Identify operational bottlenecks and propose process improvements. #### **Project & Consultancy Support:** * Support patent filing, client proposal preparation, and innovation assessment documentation. * Coordinate between R\&D clients, patent attorneys, and technical advisors as needed. * Track project timelines and deliverables for multiple consultancy engagements.
