Job Description

Job Title: Executive Assistant Department: Administration / Office of the Director / Management Location: Worli Reporting To: [CEO / Managing Director / Group Head / Senior Management]

Job Purpose:

The Executive Assistant will provide high-level administrative and operational support to senior management, ensuring efficient day-to-day functioning of the executive office. The role requires exceptional organizational, communication, and multitasking skills, along with the ability to handle sensitive information with discretion.

Key Responsibilities:1. Administrative Support

  • Manage the executive’s calendar, schedule appointments, and coordinate meetings.
  • Prepare meeting agendas, minutes, and follow up on action items.
  • Handle travel arrangements (flights, accommodation, itineraries, etc.).
  • Draft, review, and manage correspondence, reports, and presentations.

2. Communication & Coordination

  • Act as a point of contact between the executive and internal/external stakeholders.
  • Screen calls, emails, and requests, ensuring timely responses or redirection as necessary.
  • Maintain professionalism and strict confidentiality in all communications.

3. Office & Documentation Management

  • Maintain organized filing systems (electronic and physical).
  • Manage document approvals, expense reports, and reimbursements.
  • Coordinate with HR, Admin, and Accounts teams for inter-departmental needs.

4. Project & Task Management

  • Assist in the preparation and tracking of key projects, reports, and presentations.
  • Support in organizing company events, board meetings, and conferences.
  • Conduct basic research and prepare briefing materials as required.

5. Confidential Support

  • Handle confidential and sensitive information with utmost discretion.
  • Maintain records related to strategic decisions and management discussions.

Qualifications & Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 3–7 years of experience as an Executive Assistant, preferably in a corporate environment.
  • Excellent written and verbal communication skills.
  • Strong organizational, planning, and multitasking abilities.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.
  • Discretion, integrity, and the ability to work under pressure.

Employment Type: Full-Time Work Schedule: Monday to Saturday, 9:30 AM to 6:00 PM

Pay: ₹12,666.77 - ₹50,424.24 per month
