Job Description

high-level executive, administrative, and confidential support

Key Responsibilities

1. Executive & Administrative Support

  • Manage MDs

    calendar, meetings, appointments, and travel

  • Prioritise meetings based on urgency and strategic importance
  • Screen calls, emails, and correspondence; highlight critical matters
  • Act as the

    primary coordination point

    for the MD’s office

2. Communication & Correspondence

  • Draft, review, and format

    professional emails, letters, notes, and presentations

  • Prepare

    brief summaries

    of documents, emails, and discussions for MD review
  • Handle communication with

    investors, bankers, auditors, consultants, senior executives, and government officials

3. Board, Investor & Senior Management Support

  • Assist in

    Board & Committee meetings

    :
    • Agenda preparation
    • Circulation of papers
    • Minutes of Meeting (MoM)
    • Action-item tracking
  • Coordinate

    investor meetings, due-diligence interactions, and follow-ups

  • Maintain secure records of

    board papers, investor documents, and strategic files

4. Confidentiality & Governance

  • Handle

    highly sensitive information

    including financials, shareholding, contracts, and strategic decisions
  • Ensure strict adherence to

    confidentiality, NDAs, and data security

  • Maintain organised and version-controlled document repositories

5. Travel, Events & Logistics

  • Plan and coordinate

    domestic and international travel

  • Manage itineraries, visas, accommodation, and meeting schedules
  • Coordinate MD’s participation in:
    • Conferences
    • Investor meets
    • Site visits
    • Government meetings

6. Follow-ups & Task Tracking

  • Track commitments made by MD across meetings and calls
  • Ensure timely follow-up with internal teams and external stakeholders
  • Maintain task dashboards and reminders without constant supervision

7. Office Coordination

  • Liaise with internal departments on behalf of the MD
  • Coordinate with HR for administrative matters relating to the MD’s office
  • Support ad-hoc strategic initiatives as assigned by the MD

Key Skills & Competencies

Technical & Functional Skills

  • Excellent

    English communication

    (written & verbal)
  • Strong proficiency in

    MS Office / Google Workspace

  • Professional handling of

    emails, calendars, presentations, and reports

  • Basic understanding of

    corporate governance and board processes

Behavioural & Personal Attributes

  • High level of

    integrity, discretion, and trustworthiness

  • Strong

    time management and multitasking

    ability
  • Calm under pressure; solution-oriented mindset
  • High emotional intelligence and professional maturity
  • Ability to work with minimal supervision and extended hours when required

Experience

  • 5–10 years

    of experience as:
    • PA / Executive Assistant to MD / CEO / Founder
    • Preferably in EPC, infrastructure, manufacturing, finance, or listed / IPO-bound companies
  • Exposure to

    board meetings, investors, auditors, or senior leadership

    is strongly preferred
