Job Description

Account Office Assistant – Roles and Responsibilities

1. Financial Record Keeping

  • Maintain accurate records of all financial transactions.
  • Assist in preparing vouchers, bills, receipts, and invoices.
  • Ensure timely data entry into accounting systems (Tally/ERP/SAP).

2. Budgeting and Reporting

  • Support in the preparation of budgets and expenditure statements.
  • Assist in preparing monthly, quarterly, and annual financial reports.
  • Track and reconcile budget utilization with actual spending.

3. Accounts Payable and Receivable

  • Process payments to vendors and suppliers.
  • Maintain records of invoices, credit notes, and receipts.
  • Follow up on outstanding payments and ensure timely collections.

4. Bank and Cash Management

  • Assist in preparing bank reconciliation statements.
  • Handle petty cash transactions and maintain logs.
  • Support in daily cash flow management and deposits.

5. Compliance and Documentation

  • Ensure compliance with financial policies, rules, and regulations.
  • Maintain and organize financial documents for audits.
  • Assist during internal and external audits.

6. Coordination and Support

  • Coordinate with departments for budget and expense clarifications.
  • Provide administrative and clerical support to the finance department.
  • Assist the Finance Officer in day-to-day financial operations.
