Job Title: Office Manager Location: Chandigarh Tricity (Zirakpur/Panchkula) Reporting To: Managing Director About Meadbery Meadbery is a fast-growing health & wellness brand committed to “Choose Health Everyday.” We’re looking for an organized, proactive Office Manager to keep our 50-seat operation running smoothly so our teams can focus on what they do best—selling, consulting, designing, and innovating. Key Responsibilities 1. Daily Operations & Facilities Open and close the office punctually, ensuring gate and security access. Oversee housekeeping staff (3 maids) to maintain cleanliness, pantry stock, and workplace hygiene. Coordinate IT support for routine PC/network/UPS/power issues—troubleshoot or escalate as needed. 2. Attendance & Workforce Management Monitor clock-in/out and break schedules for all teams (Sales, Dietitians, NDR, Creative, Marketing). Enforce punctuality and flag unauthorized absences to HR and MD. Support HR team in onboarding, policy compliance, and maintaining confidential records. 3. Cross-Department Coordination Liaise between department leads (Sales Manager, Logistics Manager, Senior Dietitian, Creative Lead, Marketing Lead) to remove roadblocks. Ensure Shopify order allocation runs smoothly each day alongside the Logistics Manager. Facilitate daily huddles or briefings to align Admin, HR, and IT. 4. Vendor & Security Oversight Manage relationships with security guards, cleaning vendors, and maintenance contractors. Hold keys/cards and maintain inventory of office assets. 5. Reporting & Continuous Improvement Deliver weekly reports on attendance, incidents, break-time compliance, and facilities costs. Develop and refine SOPs for all office rituals—opening/closing, equipment checks, order-allocation checklists. Propose and implement process improvements to boost productivity and reduce ad-hoc firefighting. Ideal Profile & Qualifications Highly organized & process-driven : Builds and enforces clear SOPs to keep a 50-seat office humming. Proactive problem-solver : Spots and fixes issues (gate, power, network) before they derail work. Strong communicator : Keeps teams informed and enforces policies with clarity and tact. Basic IT proficiency : Diagnoses common PC/UPS/network glitches for quick resolution. People-management & accountability : Holds staff to schedules and drives ownership with minimal intervention. Vendor & facilities oversight : Ensures a secure, clean, well-stocked workplace every day. Trustworthy & discreet : Handles keys, HR records, and sensitive conversations with confidentiality. Adaptable & resilient : Thrives under pressure and steps in wherever needed. Leadership presence : Commands respect and is the go-to escalation point for all teams. Education & Experience: Bachelor’s degree or equivalent. 3–5 years in operations, facilities management, or administrative leadership—ideally in a fast-paced office environment or hospitality/facilities sector.
