Job Description

Role Overview

The Office Administrator ensures the smooth day-to-day running of the coaching center by managing administrative tasks, coordinating with students and faculty, maintaining records, and providing excellent customer service.

Key Responsibilities

1. Front Desk & Customer Interaction

  • Greet and assist visitors, students, and parents.
  • Handle inquiries (in person, phone, email, WhatsApp) about courses, fees, schedules, etc.
  • Maintain a welcoming and professional reception area.

2. Student Admission & Records

  • Assist with the admission process: counseling students, explaining course details, and enrolling them.
  • Maintain accurate student records (personal details, attendance, fee payments, performance reports).
  • Issue receipts, ID cards, and other documentation.

3. Scheduling & Coordination

  • Prepare and update class timetables.
  • Coordinate with faculty/trainers about schedules and resources.
  • Arrange substitute teachers if required.

4. Fee Management

  • Track fee payments and send reminders for pending dues.
  • Manage cash and digital transactions securely.
  • Maintain daily cash/finance register.

5. Office & Resource Management

  • Ensure classrooms are clean, well-equipped, and ready for sessions.
  • Maintain inventory of stationery, teaching aids, and office supplies.
  • Coordinate with vendors for printing, maintenance, etc.

6. Communication & Reporting

  • Prepare daily/weekly/monthly reports on admissions, attendance, and revenue.
  • Share important notices and updates with students and staff.
  • Assist in marketing campaigns (social media posts, flyers, email newsletters).

Skills & Qualifications

Essential Skills

  • Good communication skills (English, local language).
  • Proficiency in MS Office (Word, Excel, PowerPoint) and basic internet tools.
  • Time management and organizational skills.
  • Basic accounting/record-keeping knowledge.
  • Customer service mindset.

Preferred Qualifications

  • Graduate in any discipline.
  • Prior experience in an educational institution or administrative role.

Work Environment & Schedule

  • Location: On-site at the coaching center.
  • Timings: Typically aligned with class schedules (may include evenings/weekends).
  • Interaction: Directly reports to the Center Manager/Owner.

Job Type: Full-time

Pay: ₹8,086.00 - ₹25,984.10 per month
