Role Description :


The Meeting Setter is responsible for initiating outbound conversations with qualified prospects, creating interest through consultative dialogue, and securing confirmed meetings (physical or virtual) for the Sales Closer. The role is outcome-driven, not activity-driven, with a clear focus on quality conversations and booked meetings.


Core Responsibilities :


1. Outbound Calling & Prospect Engagement-

• Make a minimum of 80 fresh outbound cold calls per day to assigned prospect lists

• Conduct calls with confidence, clarity, and professionalism

• Quickly establish rapport and credibility within the first 20–30 seconds of the call

• Clearly communicate the company’s value proposition without pitching or selling

• Ask relevant discovery questions to identify:

• Business need

• Decision-maker authority

• Timing and intent

• Handle initial objections calmly and conversationally

• Maintain control of the call flow and steer conversations toward meeting booking


2. Follow-Ups & Nurturing-

• Perform systematic follow-ups via calls, WhatsApp, email, or LinkedIn as per defined cadence

• Track and re-engage:

• “Call back later” prospects

• Warm leads

• Previously interested but undecided prospects

• Ensure no qualified lead is dropped due to lack of follow-up

• Maintain clear notes on objections, context, and next steps for each follow-up


3. Meeting Scheduling & Confirmation-

• Secure calendar-confirmed meetings for the assigned Sales Closer

• Schedule meetings at mutually convenient times, ensuring:

• Correct decision-maker attendance

• Clear agenda expectation

• Proper qualification before booking

• Send meeting confirmations and reminders to reduce no-shows

• Reconfirm meetings 24 hours and/or same day when required


4. Lead Qualification Standards-

Qualify prospects based on predefined criteria (example):

• Business relevance to AI automation

• Problem awareness

• Budget readiness or scale potential

• Authority or access to decision-maker

• Avoid booking unqualified or time-wasting meetings

• Escalate high-intent or urgent leads immediately to the closer if required


5. CRM & Reporting Discipline-

Update CRM daily with:

• Call outcomes

• Follow-up dates

• Meeting status

• Call notes and objections

• Maintain accurate pipeline hygiene


Submit daily activity and outcome reports including:

• Calls made (fresh + follow-ups)

• Conversations held

• Meetings booked

• Show-up rate feedback


6. Communication & Collaboration-

Work closely with the Sales Closer to align on:

• Target industries

• ICP feedback

• Call objections and market insights

• Incorporate feedback from closers to improve qualification quality

• Maintain professional internal communication and accountability


7. Performance Expectations & KPIs-

Daily:

• 80 fresh outbound calls

• Consistent follow-ups as per pipeline

Weekly:

• Target number of qualified meetings booked (defined by management)

Quality Metrics:

• Meeting show-up rate

• Lead qualification accuracy

• Conversation-to-meeting conversion rate


Required Skills & Competencies :

• Strong spoken English (and/or relevant regional language proficiency)

• High comfort level with cold calling and rejection

• Excellent listening and conversational skills

• Ability to think on feet and adapt scripts naturally

• Self-discipline to work remotely with minimal supervision

• Coachable mindset with willingness to improve call performance


What the Role Is NOT :

• Not responsible for closing deals

• Not responsible for pricing or proposals

• Not a script-reading telecaller role

• Not a passive lead-following role

A Meeting Setter is successful when:

  • Closers consistently receive qualified, decision-maker meetings
  • Show-up rates are high
  • Prospect feedback is positive and professional
  • Pipeline momentum is predictable and scalable
