Job Summary
We are seeking a dynamic and organized Manager – Customer Relations & HRto oversee both client engagement and human resource operations. The ideal candidate will manage customer relationships, follow up on online leads, and ensure smooth communication between clients and internal teams while also handling key HR functions including recruitment, employee engagement, and administrative coordination.Your responsibilities include ensuring the front desk welcomes guests positively and executing all administrative tasks to the highest quality standards.
· Greet and welcome guests as soon as they arrive at the office.
· Maintain logbook with visitors' details.
· Notify company personnel of visitor arrival.
· Maintain security and telecommunications systems.
· Explaining services and introducing different packages.
· Provide visitors with an appropriate answer for all their inquiries.
· The answer, screen, and forward incoming phone calls as necessary.
· Maintain employee and department directories.
· Receive, sort, and distribute daily mail/deliveries.
· Daily monitoring of the status of digital promotions and maintaining constant contact with digital marketing team.
· Support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
· Contribute to team effort by accomplishing related results as needed.
· Order front office supplies and keep the inventory of stock.
· Update calendars and schedule meetings.
· Perform other clerical duties such as filing, photocopying, transcribing, and faxing.
· Ensuring security and confidentiality: You'll be responsible for maintaining the security of the reception area and ensuring only authorized individuals have access. Additionally, you'll handle sensitive and confidential information, maintaining confidentiality at all times.
· Providing administrative support: You'll provide general administrative support to the architects and other staff members. This could involve tasks such as organizing travel arrangements, preparing documents, and maintaining office supplies.
· Displaying professionalism and positive attitude: It's essential to maintain a professional and positive demeanor as a receptionist. You'll represent the architectural firm's image and create a positive first impression for clients and visitors.
Key Responsibilities
Customer Relations:
* Handle and follow up on *online and offline client inquiries and leads*.
* Build and maintain strong relationships with clients to ensure satisfaction and trust.
* Act as the liaison between clients and the design/build team.
* Monitor project progress and provide timely updates to clients.
* Coordinate with marketing and sales teams to enhance client communication and brand presence.
Human Resources:
* Manage recruitment and onboarding processes for new employees.
* Oversee attendance, performance tracking, and employee records.
* Foster a positive and productive workplace culture.
* Plan and execute HR initiatives such as training, team-building, and employee engagement programs.
* Ensure compliance with company policies and relevant labor laws.
Qualifications & Skills
* Bachelor’s degree in Business Administration, Human Resources, or a related field (MBA preferred).
* 3–6 years of experience in *customer relations and/or HR management, preferably in the **construction, real estate, or design-build* industry.
* Excellent communication, interpersonal, and organizational skills.
* Strong problem-solving abilities and a client-focused attitude.
* Proficiency in MS Office and CRM/HRM software.
* Ability to multitask and work efficiently in a fast-paced environment.
