Job Description

The HR and Administration Assistant plays a crucial role in supporting the field office to strengthen and maintain HR and Admin systems in close coordination with the Head Office. This includes various responsibilities such as office administration, recruitment, benefits administration, staff capacity building, and implementation of wellness initiatives to maximize staff retention. The position holder also serves as the focal person in ensuring that child safeguarding is embedded in the operations. In terms of Human Resources, the Assistant is responsible for recruitment and selection processes, including drafting and posting vacancy announcements, screening applicants, setting interview schedules, facilitating the interview process, conducting background checks, and endorsing final candidates for legal vetting. Additionally, they assist in the completion of pre-employment requirements and coordinate housing arrangements for new hires or relocated staff. The Assistant also monitors staff compliance in mandatory training, facilitates internship programs, manages volunteer processes, and coordinates with line managers to ensure contracts, allowances, and performance objectives are in place for office volunteers. They are also involved in benefits administration, including health and wellness initiatives, leave management, statutory benefits processing, and performance reviews. Furthermore, the Assistant supports employee engagement activities, answers FAQs related to HR policies and processes, ensures offboarding requirements for staff with ending contracts, and complies with Data Privacy Law. They also initiate activities to promote employee morale and wellness, address concerns related to the office environment, implement workplace safety measures, and handle housing-related issues raised by employees. On the administrative side, the Assistant assists in travel and bookings, manages events and activities, supports records management and archiving, provides office maintenance support, and oversees office supply and facilities management. They are also responsible for managing outgoing and incoming communications, coordinating regular maintenance and repairs of office facilities, and ensuring the appropriate use and security of assets and equipment assigned to the field office area. Additionally, the Assistant provides support to safety and security measures to ensure the well-being of SCP staff and visitors, as well as adherence to security standards and procedures. The ideal candidate for this role holds a college degree in Psychology, Administration, Management, or Human Resource Management, possesses strong HR knowledge and skills, communication abilities, flexibility, urgency, and a commitment to Save the Children's mission and vision. Moreover, proficiency in Filipino languages/dialects such as Visayan or Maranao is desirable. Overall, the HR and Administration Assistant will play a vital role in ensuring the smooth functioning of HR and Admin systems, promoting staff well-being, and supporting the field office in achieving its objectives effectively.,
