Job Description

Job Summary:

The Admin & HR Executive at Vulcan Advance Intelligence Computing Pvt. Ltd. will be responsible for managing all day-to-day administrative operations, including office maintenance, travel bookings, vendor coordination, and facility management. The role requires regular factory visits and coordination with the operations team. The candidate should have a valid driving license and be able to drive company vehicles when required.

Key Responsibilities:

Administrative Management:

  • Manage daily office administration and ensure smooth workflow.
    • Handle travel arrangements air, train, and bus ticket bookings; hotel reservations; and vehicle scheduling. • Visit the factory site at least 3 days a week to monitor administrative operations, housekeeping, and maintenance. • Coordinate with vendors and contractors for facility maintenance, repairs, AMC renewals, and utility services. • Supervise housekeeping, pantry, and security staff, ensuring cleanliness and safety at all premises. • Maintain records of courier, dispatch, and inward/outward materials. • Manage office assets, inventory, and procurement of stationery and consumables. • Support management in organizing meetings, company events, and other official programs. • Handle vehicle management, including driver coordination, fuel records, and upkeep of company vehicles. • Assist in filing bills, invoices, and vendor payments.

Factory Coordination:

  • Visit the factory regularly (minimum 3 days/week) to ensure administrative compliance and support production operations.
    • Coordinate with factory teams for maintenance, material movement, and staff facility management. • Supervise infrastructure upkeep, canteen, and housekeeping services at the factory site.

HR Support (Limited):

  • Maintain attendance and leave records of office and factory staff.
    • Support in basic HR documentation such as offer, appointment, and experience letters. • Assist during onboarding and ID card issuance for new employees.

Qualifications & Skills:

  • Bachelors Degree in Administration, Management, or a related field.
    • 13 years of experience in office administration, facility management, or related roles. • Must possess a valid four-wheeler driving license and be comfortable with official travel. • Good knowledge of vendor coordination, maintenance supervision, and travel management. • Proficient in MS Office (Excel, Word, Outlook). • Strong communication, negotiation, and multitasking abilities.
