Graniti Vicentia is seeking an experienced proactive HR Executive to support key HR functions, focusing on recruitment coordination, vendor management, employee engagement, and HR data management. The ideal candidate will have strong experience in candidate coordination, job posting, and handling recruitment processes.
Key Responsibilities:
Recruitment Coordination:
- Oversee and manage end-to-end recruitment coordination for open positions, ensuring smooth and timely hiring.
- Coordinate with external recruitment vendors and agencies to streamline the recruitment process.
- Schedule and manage interviews, working with hiring managers and candidates to ensure seamless communication.
- Handle the logistics of interview panels and candidate assessments.
- Maintain a candidate database and manage the flow of applicants, ensuring an efficient recruitment pipeline.
Vendor Coordination:
- Manage relationships with external recruitment vendors, ensuring they meet agreed service levels and performance metrics.
- Oversee vendor contracts and ensure smooth collaboration with external agencies.
- Monitor and evaluate vendor performance regularly, making recommendations for improvements where needed.
Job Postings & Candidate Sourcing:
- Post job openings on various platforms including
LinkedIn
and other job boards. - Ensure job descriptions are up-to-date, accurate, and aligned with company standards.
- Coordinate with the marketing or communications team to enhance the visibility of job postings.
Onboarding & Documentation:
- Oversee the onboarding process for new employees, ensuring all documentation (e.g., appointment letters, NDAs) is prepared and completed.
- Coordinate new hire orientations and ensure new employees are smoothly integrated into the company.
- Manage the preparation of employee documentation, including agreements, appointment letters, and probation confirmations.
Employee Engagement & Reporting:
- Plan and execute employee engagement events and activities to enhance morale and retention.
- Prepare and provide regular reports on HR metrics like attendance, leave balances, recruitment status, and headcount to the reporting manager.
- Support the development and implementation of employee engagement initiatives to foster a positive workplace culture.
HR Data Management:
- Ensure employee data is updated and maintained in the HR system.
- Support HR reporting by maintaining accurate records of employee attendance, leave, and performance data.
- Ensure timely documentation and record-keeping for all HR-related activities.
General HR Support:
- Collaborate with the Global HR Team on offshore activities and updates.
- Assist in the implementation of HR policies and procedures across the organization.
- Support various HR initiatives and ad-hoc tasks as needed by the HR leadership.
Skills & Qualifications:
Experience:
3 to 5 years of experience in HR, with a focus on recruitment coordination, vendor management, and employee engagement.Recruitment & Candidate Coordination:
Hands-on experience with recruitment platforms (e.g., LinkedIn, Naukri, and job boards).Vendor Coordination:
Proven ability to work effectively with external vendors and recruitment agencies to meet hiring needs.HR Documentation & Onboarding:
Experience managing employee documentation and the onboarding process.Job Posting Management:
Proficient in posting job ads, managing candidate applications, and handling interview scheduling.Reporting & HR Metrics:
Experience in preparing HR reports, especially related to attendance, recruitment, and employee status.Communication Skills:
Strong interpersonal skills with the ability to communicate clearly with candidates, vendors, and internal stakeholders.Attention to Detail:
Ability to manage documentation and data with accuracy and integrity.HR Data Management:
Familiarity with HR software and systems for maintaining employee records and metrics.Flexible with the shift timings
Preferred:
- Experience in organizing employee engagement activities or events.
- Familiarity with HR software for candidate management (e.g., ATS systems, BambooHR, etc.).
