Job DescriptionPosition: HR Assistant – DocumentationDepartment: Human ResourcesReports To: HR Manager / HR ExecutiveJob Summary

The HR Assistant – Documentation is responsible for maintaining accurate employee records, preparing HR-related documents, and supporting day-to-day HR administrative activities. The role ensures proper documentation, compliance, and smooth HR operations.

Key Responsibilities1. Employee Documentation

  • Maintain and update employee personal files (physical & digital).
  • Collect and verify employee documents (ID proofs, certificates, contracts).
  • Ensure proper filing of joining, confirmation, transfer, and exit documents.
  • Maintain confidentiality of employee information.

2. HR Records & Data Management

  • Update employee records in HR systems or Excel sheets.
  • Maintain attendance, leave, and payroll-related documents.
  • Track employee documentation status and follow up for pending documents.

3. HR Letters & Reports

  • Prepare HR letters such as offer letters, appointment letters, confirmation letters, warning letters, and experience letters.
  • Assist in preparing HR reports as required by management.
  • Maintain records of issued HR documents.

4. Onboarding & Exit Support

  • Support employee onboarding documentation and induction records.
  • Assist in exit formalities, including full & final documentation.
  • Coordinate with employees and departments for smooth processes.

5. Compliance & Policy Support

  • Ensure documentation complies with company policies and labor laws.
  • Support audits by providing required HR documents.
  • Maintain statutory and compliance-related records if applicable.

Skills & Competencies

  • Basic knowledge of HR processes and documentation.
  • Good communication and coordination skills.
  • Attention to detail and accuracy.
  • Ability to handle confidential information responsibly.
  • Proficiency in MS Word, Excel, and email communication.

Qualifications

  • Graduate / Diploma in HR, Business Administration, or related field.
  • 0–2 years of experience in HR documentation or administration .

Job Type: Full-time

Pay: ₹15,000.00 - ₹20,000.00 per month
