Role Overview
We are looking for a highly organized, proactive, and dependable House Manager to oversee daily operations across our three family homes and our shared family farmhouse. This role is the central point of coordination for a 20-member joint family, ensuring smooth functioning, timely problem-solving, and efficient communication between all households, vendors, and staff.
The ideal candidate is someone who treats every home like a well-run micro-hotel: attentive, structured, and always two steps ahead. Someone who doesn’t get flustered when the water pump stops working, a maid takes unplanned leave, or ten people call at once.
Key Responsibilities1. Household Operations Management
- Oversee the daily functioning of all three residences (cleanliness, utilities, staff attendance, supplies).
- Ensure all appliances and essential systems (ACs, water pumps, geysers, RO filters, CCTV, Wi-Fi, lifts) are in working condition.
- Maintain checklists for housekeeping, cleanliness standards, pantry stock, and daily upkeep.
2. Maintenance & Repair Coordination
- First responder for issues related to electricity, plumbing, carpentry, pest control, appliances, water supply, etc.
- Maintain a roster of reliable technicians and service providers.
- Schedule and oversee preventive maintenance for each home and the farmhouse.
- Ensure timely AMC renewals (appliances, water systems, generators, CCTV, elevators).
3. Staff Management
- Coordinate with all house helps, drivers, cooks, cleaning staff across the three homes.
- Monitor attendance, discipline, and performance.
- Manage replacements when staff take leave.
- Train domestic staff when required (cleaning standards, grooming, communication).
4. Communication & Coordination
- Act as the central point of communication between all family members and homes.
- Share important updates (maintenance works, staff availability, deliveries, schedules).
- Handle inter-house coordination for shared tasks, festivals, events, and guest visits.
5. Vendor & Service Provider Management
- Source, negotiate, and coordinate with electricians, plumbers, AC technicians, gardeners, pest control, carpenters, and other vendors.
- Manage service timelines and quality of work.
- Maintain and update a directory of all vendors with contact numbers and service history.
6. Farmhouse Management
- Oversee the complete upkeep of the family farmhouse — cleaning, gardening, security, maintenance of equipment, pool (if any), water systems, power backup, etc.
- Coordinate pre-visit preparation and post-visit reset whenever the family uses the property.
- Handle all repair work and periodic checks at the farmhouse (water leakage, pest control, boundary security, generator health, etc.).
7. Inventory & Supplies
- Track and manage household supplies across homes — groceries, cleaning supplies, RO filters, gas cylinders, laundry consumables, etc.
- Implement smart systems for stock levels to avoid last-minute shortages.
- Manage purchases or coordinate with delivery partners.
8. Budgeting & Expense Tracking
- Maintain monthly expense sheets for household operations and farmhouse upkeep.
- Track petty cash, maintenance bills, and vendor payments.
- Prepare cost estimates for repair works or upgrades.
9. Event & Guest Management
- Support preparation and coordination for family functions, festivals, and celebrations.
- Oversee logistics for guest arrivals — rooms, cleanliness, transport arrangements, refreshments.
10. Safety & Compliance
- Ensure fire safety equipment, CCTV, and entry protocols across homes are functioning.
- Keep a log of security issues, if any.
- Coordinate with guards and security staff (if applicable).
Skills & Qualities Required
- Highly organized with excellent follow-through.
- Strong communication and people-management skills.
- Calm under pressure; solution-oriented.
- Ability to handle confidential and sensitive family matters with maturity.
- Basic understanding of electrical, plumbing, and home-related systems (not as a technician, but enough to diagnose and coordinate).
- Tech-savvy: WhatsApp groups, reminders, Excel/Google Sheets, photos/videos for updates.
- Fluent in Hindi and Gujarati; basic English preferred.
Experience
- 3–7 years of experience in residential management, hotel operations, facility management, or handling HNI households.
- Experience managing domestic staff, vendors, or household logistics is a big plus.
Working Hours & Expectations
- Full-time with flexibility based on family requirements.
- Should be available on-call for urgent issues.
- Occasional travel to the farmhouse as required.
